Free subscription tracker spreadsheet template

Download the working ManageSubs subscription tracker spreadsheet template (.xlsx). Replace the four example rows with your own records; the file does not connect to a bank or discover subscriptions for you.

What the free template includes

How the calculations work

The template converts each recurring price to a monthly amount, then multiplies it by 12 for the annual amount:

• Monthly: price stays unchanged.
• Yearly: price divided by 12.
• Weekly: price multiplied by 52, then divided by 12.
• One-time: listed for reference but counted as 0 in recurring totals.

The four built-in examples verify those formulas: $15.49 monthly becomes $185.88 annually; $120 yearly becomes $10 monthly; $5 weekly becomes about $21.67 monthly; and a $49 one-time row stays at $0 recurring cost.

Fill the list from billing records, not memory

Start a verified list by checking the accounts and providers that can bill you. Apple subscriptions are managed from your Apple Account's Subscriptions list; Google Play requires the Google Account that owns the purchase; and PayPal automatic payments are separate from a merchant's own account. Confirm the billing owner before you call an item a subscription or decide to cancel it.¹²³

Use the decision column at review time

Mark each line Keep, Review, or Cancel. Before cancelling, check the biller, current terms, access end date, and confirmation path. The spreadsheet is a record of your decision; it does not cancel with a provider, verify a charge, or guarantee that you will notice a renewal. Open it regularly and save any cancellation confirmation separately.

When a spreadsheet is enough—and when it is not

A spreadsheet is a practical manual system if you are willing to keep it current. Its limitation is passive timing: it can show renewal dates only when you open it.
